Customer Services Assistant – Site Officer

Part Time (18.5 hours per week - Monday – Sunday shift working)

The main purpose of the role is to provide reception and site office services to the Hindlip and Defford sites. In addition to managing and co-ordinating the effective delivery of a range of Business Support services, ensuring they are balanced in terms of their individual and collective contribution to and alignment with the overall aims, objectives and needs of Warwickshire Police and West Mercia Police, to enable delivery of acceptable levels of policing services.

Main Responsibilities:

To ensure that the aims, intent and expectations of the alliance Vision and Values together with those of the Enabling Services Statement of Common Purpose are fully integrated into all day to day activity.

To receive visitors and contractors and issue passes in accordance with current security state policy and Health & Safety protocols.

To ensure contractors have been security cleared, sending out vetting forms and monitoring status as required.

To ensure contractors are notified of the appropriate departmental operating protocols and procedures including, where necessary, inspection of the locally held asbestos register.

To operate and control IT systems and associated processes including the   registry database, tannoy systems and Axiom system.

To issue ID cards.

To support the management of site evacuations.

To reserve car parking spaces as required for visitors and disabled visitors, assist with access to building.

To oversee pool vehicle bookings including the issuing of keys, booking of hire cars, monitoring of fuel cards and reporting of issues with vehicle maintenance contractor regarding vehicles for repairs.

To undertake general housekeeping duties to ensure the presentation, safety and security of buildings, including the reporting and action of faults.

To undertake other duties commensurate with the nature, level of responsibility and grading of this post, including cover for colleagues, as required.

Experience/Skills:

Educated to GCSE standard (5 A – C including English Language and Maths).

Competent in the use of IT, including Microsoft packages or similar.

Previous experience in a customer facing role.

Excellent and effective interpersonal skills.

Ability to operate calmly and professionally under pressure.

To operate with sensitivity and tact and to resolve conflict wisely.

A proactive ‘can do’ approach in managing situations and people effectively.

Ability to work on own initiative and as a member of the team.
